  • Admissions Coordinator

    MacLachlan College, founded in 1978, is an independent (Pre-K to Grade 12) co-educational school in Oakville, Ontario.     The Position:

    The Admissions Coordinator at MacLachlan College provides essential support to the admissions Director and function, ensuring efficient response to application inquires and the smooth communication with prospective families and the effective execution of the admissions process, including managing inquiries, processing applications, and coordinating events.


    Key Responsibilities:
    • Respond to inquiries via phone, email, and the admissions portal, providing detailed information about school programs, admissions requirements, deadlines, and culture.
    • Maintain and organize the admissions database, ensuring accurate, up-to-date records and tracking student progress through the admissions cycle.
    • Process and review application materials, ensuring proper documentation and timely communication of application status updates.
    • Coordinate and assist with admissions events, including campus tours, open houses, interviews, parent orientations, and related logistics.
    • Prepare and distribute admissions materials, including brochures, welcome packets, and onboarding documents for prospective and new families.
    • Schedule and support interviews, assessments, follow-up meetings, and onboarding activities to ensure a seamless transition for new students.
    • Collaborate with the marketing team to update admissions communications, maintain brand consistency, and enhance promotional materials.
    • Generate and analyze reports on admissions metrics to provide insights and support decision-making for the admissions team.
    • Liaise with teachers, counselors, and administrative staff to facilitate smooth transitions and address prospective families' specific inquiries.
    • Assist the Director of Admissions with special projects, process improvements, and event planning as needed.
    Skills and Qualifications:
    • Post Secondary education or equivalent work experience in a similar role. Prior experience in admissions, customer service, or school administration is highly preferred.
    • Experience in event coordination or working within an educational setting is an asset. Exceptional verbal and written communication skills, with a customer-centric approach and the ability to communicate effectively with diverse stakeholders.
    • Strong organizational and time management skills with the ability to prioritize tasks, manage multiple responsibilities simultaneously, and meet deadlines in a fast-paced environment.
    • Meticulous attention to detail, ensuring accuracy in documentation, application processing, and event coordination.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with database management systems (experience with admissions-related software is an advantage).
    • Strong interpersonal skills with a demonstrated ability to build rapport and maintain positive relationships with prospective families, students, and staff.
    • Resourceful and proactive, with the ability to identify issues and find solutions to ensure smooth admissions processes.
    • Experience or familiarity with event planning and coordination, ensuring successful admissions events such as open houses and tours.
    • Ability to work effectively both independently and as part of a team, demonstrating flexibility and a collaborative mindset.

    The Position:
    Reporting to the Assistant Head of Lower School, Early Childhood Educators are expected to be stimulating and knowledgeable facilitators of the educational process. The successful candidate will assist the classroom teacher in creating a safe and motivating environment for students and be a member of our Extended Care Team. The Early Childhood Educator is also required to be involved with and lead extra-curricular activities and a variety of other responsibilities outside the classroom.

    Key Responsibilities:
    • Deliver teaching practice in accordance with MacLachlan’s Mission, Vision and Values
    • Be a supportive, positive, and contributing member of the MacLachlan community
    • Participate in co-curricular programs, being involved in and leading academic, outdoor education, and learning trips
